POSITION SUMMARY

*Highschool diploma or GED required within 6 months of employment*

The Facilities Supervisor supervises and coordinates the day-to-day maintenance and oversees facilities technicians. Also, tracks facilities service requests and ensures they are completed within established timelines and quality standards. Schedules and ensures completion of preventative maintenance. Additionally, maintains a safe and effective work environment and supports the management of all buildings and grounds needs including, but not limited to mechanical, janitorial, electrical, plumbing, HVAC, safety, and medical waste management for all leased and owned AHC sites.

Qualifications

ESSENTIAL SKILLS AND EXPERIENCE:

  • Three (3) years of related facilities/maintenance experience; OR, any equivalent combination of experience, training and/or education
  • High School Diploma or GED from an accredited institution required
  • Knowledge and/or exposure to facilities planning and construction management processes and procedures
  • Skill in diagnosing problems/recommending solutions in basic mechanical equipment
  • Computer literate and experienced using current Microsoft Office applications (Word, Excel, Outlook, PowerPoint)
  • An understanding and/or knowledge of all related Health Safety and OSHA regulations
  • Must be able to meet and deal effectively and politely with clients, associates, vendors/suppliers, and the general public
  • Excellent business English, spelling, and punctuation skills; and excellent oral and written communication skills
  • Ability to work independently, adapt to situations and apply critical thinking and decision-making skills
  • Knowledge of Joint Commission and Environment of Care standards
  • Valid Arizona Driver’s License and current auto insurance
  • Valid Level One Fingerprint Clearance Card issued by the Arizona Department of Public Safety for all specialty behavioral health locations

POSITION REPONSIBILITIES/ESSENTIAL:

Technical

  • Act as a point of contact for site administration, contractors, and property management in regard to building maintenance, including electrical, plumbing, HVAC and general upkeep of the buildings & grounds at assigned clinics.
  • Replace light bulbs and air filters, coordinating and being on site for any repairs and general maintenance.
  • Assist in the management of non-clinical supplies/equipment related inventory and lifecycle management for all facilities.
  • Review work requests and recommend proposed alternatives. Contact and/or visit sites to confirm completed work or determine status
  • Conduct routine maintenance inspections of facilities for deficiencies, safety hazards and or code violations
  • Recommend specifications for products, furniture and non-medical/computer equipment based on assessments conducted while on site.
  • Ensure timely delivery of services through consistent communication and follow-up with vendors and sites
  • Solicit bids and coordinate assignment of work requests to external vendors and follow-up status of maintenance jobs and open work orders.
  • Complete monthly tracers based on Joint Commission EOC standards
  • Work with facilities manager and facilities technician to correct any findings from monthly tracer
  • Schedule and coordinate work requests and acts as liaison with requesting department or functional unit

 

Administrative

  • Assist in maintaining documentation files
  • Organize Technicians daily work activities and schedules and cover if needed to meet staffing needs
  • Review and approve of Facilities technicians’ timesheets
  • Maintain accurate time and attendance records of Technicians
  • Recruit, interview, orient, train, and mentor staff
  • Ensure all tickets are updated and completed in a timely fashion.
  • Assist in validating appropriate work records/orders are properly executed after completed by technician
  • Assist in monitoring and scheduling periodic preventive maintenance activities for facilities (HVAC, fire, pesticide, janitorial, etc.) under direction of Facilities Manager
  • Monitor, maintain, and administer facility door keys and security badge access at assigned sites.
  • Establish and follow best practices when completing site assessments and work orders.
  • Maintain knowledge of facilities management industry (trade pubs, seminars, etc.)
  • Initiate coaching and work with Sr. Facilities Manager for corrective action issues
  • Meet with vendors and attend vendor sponsored events when directed
  • Monitor, maintain, and administer facility door keys and security badge access

 

NONESSENTIAL SKILLS AND EXPERIENCE:

  • Bilingual (Spanish/English)
  • Experience/knowledge of security systems
  • Intermediate knowledge and expertise with Microsoft Excel.
  • OSHA Certified

 

Additional Duties and Responsibilities

  • Provide any additional support or guidance to facility technicians during regular, on-call or emergency situations
  • Drive to multiple company locations to perform duties during regular work hours and on weekends when necessary
  • Maintain cleanliness of assigned company vehicle
  • Upkeep on regular maintenance of assigned vehicles and ensure a working condition
  • Utilize cell phone for business communications 24/7, 365 days
  • Submit purchase receipts timely
  • Other duties as requested or assigned

Work environment:   While performing the duties of this job, the employee is exposed to weather conditions prevalent at the time when traveling to various clinic sites.  The noise level in the work environment is usually moderate. The employee may be subject to health hazards (contagious diseases, blood borne pathogens, etc.) when working in the clinic area.
